Production and Registrar Assistant
Reports to: Registrar and Collections Manager Schedule: Full-time, Non-Exempt
Pay Range: $24.04-$25.48/hr
The Production and Registrar Assistant provides support to the Registrar and Exhibition Production team and complements the role of the Curatorial Administrative Assistant & Project Coordinator. The individual will assist the Curatorial Department with administrative responsibilities, meeting scheduling and planning, basic production needs, correspondence, information management, and exhibitions-related projects. Work will take place at The Contemporary’s multiple locations including both museum sites, offsite storage, and Museum Without Walls.
Responsibilities:
- Assist Registrar & Collections Manager with entering, organizing, editing, and managing content for exhibition and collection files, artwork database management, generating checklists, correspondence, shipping estimates, rights and reproduction, general administration, exhibition archive, collections management.
- During installation periods, assist Registrar & Collections Manager with record-keeping including artwork receipts, condition reports, and installation process images, and provide support to Director of Exhibitions & Production and installation staff with miscellaneous tasks, as needed.
- Assist with departmental finances: process purchase orders, work with supervisor to track expenses in department budgets, assist with the review of actual expenses and budget codes, set up department project codes with the finance office.
- Assist with scheduling department meetings related to production and shipping and taking notes.
- Assist with general department correspondence and drafting loan agreements.
- Coordinate the production of the exhibition vinyl and object labels.
- Run production errands and provide rudimentary production assistance as needed.
- Routine gallery and artwork condition checks
- Provide administrative support for sustainability initiatives such as inputting information into the carbon calculator.
- Assist with the coordination of installation photography, image management, captions, dissemination of images to artists, galleries, collectors and in-house communications and exhibitions archive.
- Liaise with Marketing and Communications to make sure website content related to the permanent collection and exhibition archive is accurate and up-to-date.
- Assist curators with image management such filing, re-sizing, archiving, and dissemination to other departments.
- Assist curators with communicating exhibition layout needs to the designers.
- Assist with artist hospitality and logistics as needed.
Qualifications:
- Highly proficient in Microsoft Excel, Word, and Outlook.
- Familiarity with SketchUp, Adobe Creative Suite, including Photoshop, Teamwork, PowerPoint, Teams preferred
- High level of accuracy, organization, and attention to detail
- Ability to use discretion working with confidential information
- Familiarity and interest in working with living artists and contemporary art
- Strong work ethic; team player
- Strong communication skills, professional demeanor, comfortable with direct artist interaction
- Valid and maintain driver’s license with clean driving record.
- Bachelor’s degree preferred.
- Administrative experience and experience in the arts preferred.
- Ability to lift and carry up to 30 pounds.
- Comfort with driving a 16 – 24 ft box truck, preferred.
