The Office Manager supports the C2 team as they manage corporate, public and private art collections. They are responsible for providing support in all areas of collection management and registration, ensuring that the highest standards in safe, professional handling are followed when lending, borrowing, packing, shipping, installing, importing, exporting, and insuring works of art.
The Office Manager must plan, execute, and finalize projects according to strict deadlines and within budget. The employee is expected to consistently provide excellent project management and communication skills. Occasional evening hours and some weekend hours are expected. Salary is commensurate with experience.
Responsibilities:
- Report to President, providing regular input on all activity.
- Support President with administrative tasks (invoices, office management, scheduling meetings, C2 event logistics, etc.)
- Support the team by maintaining client inventories, managing the collection database software, cataloging, and storing collections.
- Manage/track C2 inventory and gallery loans.
- Oversee and implement care, organization, and maintenance of collection storage areas and storage planning.
- Coordinate packing, crating, and transport for local, domestic, and international transit.
- Schedule art handlers and coordinate logistics for installation /deinstallation.
- Coordinate artwork preparation, conservation, framing, and photography.
- Oversee install/deinstall of artwork, independently and/or in collaboration with the team.
- Work with clients, as required, to obtain or maintain fine arts insurance coverage and process claims.
- Travel as needed for collection management projects.
- Provide regular communication between the client and team, to provide strong team representation and set proper client and vendor expectations.
- Represent the company at in-person and virtual meetings with clients and other external parties.
- Ensure the security and confidentiality of data.
- Adhere to office policies and procedures.
- Other duties as assigned.
Education and Experience:
- Minimum B.A. or B.F.A in Art/Art History, Museum Studies, Studio Arts, or similar.
- 5+ years’ experience in a relevant field or equivalent combination of education and experience.
- Proficient with ArtSystems (or similar), Microsoft Teams, Microsoft Office, Adobe Acrobat, and Quickbooks.
- Knowledge of data and administrative management practices and procedures.

- Must be able to lift 30 lbs. and be available evenings and occasional weekends.
- Must be able to travel multiple times a year.
- Must have a personal vehicle and a valid driver’s license.
