CONTROLLER
The Controller is a full-time, exempt member of the administrative staff of the Contemporary Arts Museum Houston. The Controller maintains accurate financial records and provides timely financial reports to the Director, Deputy Director of Development and Administration and the Board of Trustees. The Controller has primary responsibility for accomplishing the financial transactions of the Museum. The Controller provides essential support to the Development staff for recording of revenue sources and uses and to other senior staff in expenditure recording and controls. In consultation with the Director and Deputy Director of Development and Administration, the Controller has responsibility for maintaining internal controls and safeguarding the Museum\'s assets.
Principle Duties and Responsibilities
• Ensures compliance with generally accepted accounting principles and federal, state and local laws and advises the staff on best practices regarding the accounting function
• As primary fiscal manager of the institution, collaborates closely with the Director and Deputy Director of Development and Administration to manage cash flow, maintain and enforce fiscal policies, procedures, and internal controls of the Museum
• Assists Director and Deputy Director of Development and Administration to prepare and periodically report on the budget for its presentation to the Board of Trustees
• Attends Finance Committee meetings; attends Board meetings as requested
• Reconciles general ledger accounts to reporting schedules on a monthly basis making journal entries as needed to ensure its accuracy; performs month end close and other accounting operations
• Reconciles the Museum\'s bank and investment accounts; processes, monitors and verifies information provided by the institutions holding the Museum\'s financial assets
• Produces monthly financial statements
• Prepares, processes and reviews taxes and related reports and returns in compliance with applicable federal, state and local laws and regulations
• Prepares financial information for and works with the auditors; reviews internal controls and audit results with the Director, Deputy Director of Development and Administration and auditors at the conclusion of the audit
• Ensures that the financial records of the Museum agree with periodic and annual reports from the Development Department
• Maintains financial information for departments, provides assistance to departments as requested; reports on department revenue and expenses as requested
• Works closely with the Deputy Director of Development and Administration and members of the development staff, providing assistance with grant applications and interim and final grant reports
• Assists the Director and Deputy Director of Development and Administration in ensuring compliance with donor restrictions
• Oversees payment schedule and invoicing of Museum-originated exhibitions as well as exhibitions travelling from other institutions
• Completes and submits museum-wide surveys with significant financial component
• Acts as liaison to financial software vendor and support systems
• Maintains professional and technical knowledge
• Maintains strict confidentiality regarding requests, reports, and budgets that often contain sensitive and proprietary information
• Attends exhibition previews, special events and programs as assigned
• Other duties as assigned
Reports to: Deputy Director of Development and Administration
Qualifications:
• B.B.A. or B.A. in Accounting; C.P.A. preferred
• 5 + years professional experience in public accounting; not-for-profit experience strongly preferred
• Accuracy, integrity and discretion
• Proven ability to work well with colleagues and other employees
• Ability to work in a team while maintaining independent point of view
• Familiarity with non-profit audit procedures and principles
• Familiarity with Financial Edge as well as appropriate and current computer programs and technology
