Along with key executives, this position will be pivotal in The Tobin Center’s development into a multi-faceted and community engaged entertainment enterprise. The ideal candidate will be a seasoned, “roll-up-your-sleeves” event and catering management professional who is committed to world-class client, customer and patron service. This position is responsible for the daily oversight and operation of the venue’s food service contract and all front of house functions. These functions include catering, concessions and restaurant operations as well as functions related to ushers, guest service and volunteer management. This position must plan, coordinate and execute a range of receptions and meetings for internal/external clients and manage business areas to include calendar management, equipment inventory and financial recording. This director must manage and maintain front of house operations, establishing links with internal and external customers, providing oversight of facility services, safety and accessibility related to events and provide continual analysis of procedures to instill and promote world-class customer service. Reporting to this position will be a House / Volunteer Services Manager and a Facility Sales and Services Coordinator. Due to the operating hours and variety of tasks involved in this position, it is critical that the director works with a great deal of independence with sound judgment.
Essential Duties and Responsibilities
Plan, direct and control multiple business line services (concessions, catering, and restaurant sales) to meet operating and financial goals, client objectives and customer needs. Assist in the procurement process of food service-related furniture, fixtures and equipment. Assist and collaborate with the food service subcontractor in establishing food and beverage and operational needs for assigned events. Responsible for sales goals while promoting customer service and satisfaction, team work and financial performance. Monitors same and take corrective action as necessary to help assure that goals are attained. Implement operational guidelines to ensure client satisfaction and quality control standards. Develop work plans, event floor set-ups and coordinate scheduling with the Programming Department. Responsible for the management of the partnership between The Tobin and the food and beverage service company to include achievement of financial goals, operational efficiencies, quality standards and long term planning. Monitor the food service contractor and facilities to ensure that equipment and building meet state and local health laws and internal standards. Inspect responsible areas to ensure that all safety, sanitation, energy management, preventative maintenance and other standards are consistently met. Assist with the management of facility equipment inventory. Compile event related information data such as sales, per caps and patron attendance. Approve subcontractor menus, wine lists and pricing for all business lines. Develop new concepts to increase revenue sources for concessions, catering and restaurant business lines. Partner with food service contractor to plan and execute business development strategy for growth. Assist in development of external and internal marketing and sales promotion activities to increase event and non-event catering opportunities. Provide oversight and assistance to Tobin staff on all internal catering events. Develop procedures, guidelines and operational flow for security, ticketing taking and patron ushering for all events. Manage all aspects of the access control system (ticket scanning). Supervise the overall operation of all front of house staff, including part-time staff and volunteers. Supervision encompasses scheduling, hiring, training, evaluation, motivation and discipline. Monitor employee and volunteer dress codes. Direct Volunteer Services’ efforts to recruit a volunteer pool and to ensure solid communications will all volunteers regarding event staffing, scheduling, policies and procedures. Collaborate with Front of House to continually improve the customer’s theater- going experience. Manage, train, motivate and evaluate the House / Volunteer Services Manager and a Facility Sales and Services Coordinator. Address patron and guest complaints and advises appropriate corrective actions.
Bachelor’s degree from a 4-year university or equivalent experience. Five to ten years significant relevant experience in the hospitality and live entertainment industries. Expert knowledge of techniques, methods and procedures of event and food service management. Ability to assist in budget preparation; establish and maintain effective working relationships with representatives of resident arts groups, vendors, subcontractors, co-workers and others. Extensive experience with managing contracts and operational staff.
